Privacy notice

This notice explains how DistSysNet handles personal data when you use distsysnet.digital or engage us for distribution cost tracking and invoice reconciliation services.

Data controller

Data we collect

  • Contact details you submit (name, email, message content, selected engagement)
  • Business documents you provide for an engagement (may include names of staff on invoices or correspondence)
  • Technical data such as browser type and pages visited when analytics cookies are accepted — see our cookies page

Purposes and legal bases

We use enquiry data to respond to estimate requests and schedule work (legitimate interest / pre-contractual steps). We use engagement documents to perform contracted services. We use essential cookies to operate the site. Optional analytics run only with consent.

Retention

Enquiry messages are retained up to 24 months unless a related engagement continues. Engagement files are retained for up to seven years for accounting and dispute purposes, then deleted or anonymised where feasible. Cookie identifiers follow the durations listed on the cookies page.

Sharing

We do not sell personal data. We may use hosting and email providers who process data on our instructions. Vendor invoices you supply may be discussed with those vendors only when you ask us to support a credit request.

International transfers

If a processor stores data outside Taiwan, we take reasonable steps to ensure appropriate safeguards consistent with applicable Taiwan personal data protection requirements.

Your rights

Subject to applicable law, you may request access, correction, deletion, or limitation of processing of your personal data, and you may withdraw cookie consent at any time. Contact hello@distsysnet.digital to exercise these rights. You may also lodge a complaint with the competent Taiwan authority.

Security

We apply reasonable technical and organisational measures to protect personal data. No transmission method is perfectly secure; please avoid sending unnecessary sensitive identifiers in initial web forms.
